Process of advisory interviews applicants Education for Professionals (OvP)

Summary
This process describes the tasks and timelines concerning the advisory interviews to be conducted with applicants for Education for Professionals (OvP)

• In lesson week 7, the forecast OvP is prepared.
• Based on this forecast, 0.5 hours per entering student per semester will be set aside for the counselling interview.
• The PLOU starting semester and PLOU accelerated intake will get hours for conducting the interviews.
• Team Operations owns the budget for SKC/counselling and receives the names of the PLOU Start Semester and the PLOU Accelerated Entry.
• Interviews take place between weeks of classes 10-21 of the previous semester and weeks 0 and 1 of the entry semester.

Listed below, in chronological order, are the steps to be taken for the advisory interviews to be conducted with the applicants for the Education for Professionals (OvP) study programme.

1. The candidate applies via Studielink.
2. The Student Desk (SD) updates the welcome file with new registrants and deregisters.
3. SD sends a (first) welcome email within 4 weeks, together with the Form Advice Interview Education for Professionals. As the start of the semester approaches, this should be checked almost daily.
4. SD performs a further check on the enrolment conditions/admissibility of candidates. If the candidate is not admissible but is 21 years or older, a referral to the 21+ test follows.
5. SD checks the status of the Education for Professionals advisory interview form.
   • Monitors the receipt of the Form Advisory Interview OvP from the candidates and saves it on the Fontys ICT Portal.
   • If the Education for Professionals advice interview form has not been returned after two weeks, SD sends a reminder to the candidate. This reminder states that if a candidate wants to intake in a different way, filling in the Education for Professionals recommendation interview form is necessary.
   • If there is no response to the reminder within two weeks, SD will send a final reminder.
   • When the start of the semester approaches, no further reminders will be sent. After that, we do not take any more initiatives and assume that the candidate does not want to use the counselling service.
6. The PLOU OvP First Semester checks whether the candidate may have made arrangements at deregistration and does not need to go through this process.
7. The PLOU OvP First Semester schedules an interview with the student and records the date in the welcome file.
8. The PLOU OvP First Semester prepares the interview using the completed Form Advisory Interview OvP.
9. The PLOU OvP First Semester conducts the interview; the deadline for this is 2 weeks.
10. If a candidate is eligible for accelerated intake:
    • the PLOU OvP First Semester creates a new case aa nin the Exam Board Portal. This includes the CE of the relevant study route, Student Desk Team B and deeltijdfhict@fontys.nl as recipients of the message;
    • SD processes the information on the (possibly) accelerated intake in the welcome file (e.g. which study route).
11. SD monitors the progress of the calls made.
12. CE of the study route that suits the candidate schedules an interview with the candidate.
    • CE prepares for this interview (Formadviesgesprek Education for Professionals on Fontys ICT Portal) and conducts the interview.
    • The CE links the arrangements made back via the (created case in) the Exam Board Portal to all addressees.
13. The Examination Chamber informs those involved (candidate, Studentdesk Team B and deeltijd@fontys.nl via the Exam Board Portal.
14. The SD processes agreements made in the welcome file.
15. The SD monitors the progress of the interviews of the PLOU Education for Professionals first semester and CE within the implementation period (2 weeks).
