MyCoach

Summary
This page describes why and how the MyCoach application is used within Fontys ICT and what information is recorded.

What?

MyCoach is an application designed to ensure that one-on-one communication between students and student coaches remains secure and accessible. MyCoach offers features such as the ability to record meeting notes. MyCoach is available as a website and as a local application. In the digital learning environment (DLO), MyCoach is accessible via Canvas.

MyCoach is intended for coaching-related information. Study-related information is recorded within Portflow.

Why?

As an educational institution, Fontys has a duty of care. Every student has the right to guidance from a student coach. This guidance must be accessible and securely documented. Fontys uses MyCoach for this purpose.

Within Talent-Oriented Education (TGO), students gain more control over their personal and professional development. This also aligns with Student centred education from Fontys ICT. MyCoach offers the ability to document this in a way that complies with GDPR criteria.

How?

MyCoach is primarily used by students and student coaches. If necessary, others in the support chain may also use it.

Within TGO and student centred education, students take charge of their own learning process. Therefore, students are the ones who enter information into MyCoach. Student coaches also have the option to enter meeting reports and notes.

At a minimum, the following meetings are documented in MyCoach:

Fontys ICT has created templates for both of these meeting reports. These can be found in the Canvas course. Additionally, meetings are documented if they are relevant to the student’s academic progress:

Fontys ICT uses only the components of MyCoach that align with student centred education, namely “my students” and “notes, labels, and action items.”

Practical Information

The DLO contact person within a teaching team assigns students to a student coach in SVS at the start of the semester (week 0). The Student Desk imports these assignments directly from SVS to MyCoach at the beginning of the semester. Although SVS is the primary system at all times, in exceptional cases, additional coaches (e.g., Student+) can be linked to students via the Fontys ICT functional administrator.

GDPR Guidelines

General guidelines regarding reporting can be found on this policy wiki page. Under privacy legislation (GDPR), not everything may be recorded. Guidelines have been established for this purpose.

  1. A student determines what information is included. All meeting reports are visible to the student.
  2. A student has the right to choose who can view which information and to remove personal information.
  3. Meeting reports and notes may only concern the student’s academic behavior or matters that may influence the student’s learning process, such as personal circumstances (medical issues, relationship problems, home situation, addictions, domestic violence, etc.). This information must, however, be relevant to academic advising.
