Protocol for the chairman of the graduation session
Summary
This protocol is an extra tool for the chairman of a graduation session, to be used in addition to the more formal description degree session.
Note: During the Covid 19 pandemic graduation sessions may be held in a Microsoft Teams session. For these sessions a separate protocol is available and will be sent to the participants by e-mail in case the an online session is planned. | |

In advance
- Collect documents;
- If the documents are not in the classroom, please pick them up at the Student Desk (R10 room 1.06A Student Desk: the counter in the open space next to the stairs);
- The chairman shall inquire from the supervisors whether there are any special circumstances;
- If yes, he will initiate a short pre-meeting of maximum 10 minutes to discuss the special circumstances (without candidate and audience). The pre-talk is not intended to discuss the assessment.
Graduation session
- Opening
- Introduction: who is chairman, school supervisor, business supervisor and possibly external expert;
- Welcome to the audience (guests);
- Communications: turn off the phones;
- Indicate the time schedule as described on the page Graduation session to those involved:
- Wishing you good luck and giving the floor to the candidate;
- Turn on video.
- Candidate gets the floor
- Signal the candidate one minute before time;
- If time is exceeded: take the word back.
- Question Session:
Word is given successively to assessors. This session can be repeated several times until the time of the session has elapsed:- 1st school counsellor;
- 2nd business supervisor;
- 3rd external expert;
- 4th chairman.
- Turn off video;
- Request candidate and guests to leave the room. (English: the students are given an evaluation form).
Determine grades
The guidelines for determining the grades are described in Graduation session. This differs for graduation on the basis of a thesis and graduation on the basis of a portfolio.
- The chairman shall ask for the opinion of the assessments to be explained;
- The jury comes to its final assessment;
- The assessment is completed on the graduation protocol.
If the assessment is insufficient, a recommendation is drawn up for the examination board for the future. This can be, for example, repair, restart or extension of the final project; - Signing the graduation protocol by all members of the jury.
Rounding off
- Ask the candidate to come back;
- The school supervisor informs the students of the grades and gives an explanation;
- Congratulate on behalf of the study programme, thank the student and guests and close the session.
Afterwards
- Please hand in the protocols, together with an explanation of the assessments given, to the Student Desk;
- Homework for school counsellor (Dutch-language study programme): gather information about the student and the ratings for a speech at the graduation ceremony.
