Process updating curricula in the Curriculum database
Summary
The Curriculum Database (CDB) maintains the TER information for the Fontys ICT Learning Outcomes units. The system is also used to generate the Fontys ICT Programme Guide. Canvas links directly to the information about the corresponding Unit of Learning Outcomes (ULOs) in the CDB. This page describes the process of maintaining the CDB. This CDB will eventually be replaced by Fontys' Curriculum Management System.
Introduction
In the Curriuculum development committee (OO), it was decided that the Curriculumdatabase would be used to maintain the OER information for all Fontys ICT learning outcomes units. The tool is also used to generate the Fontys ICT programme guide based on the information in the database.
To ensure that this runs smoothly, agreements have been made about the procedure and timeline for activities related to entering the necessary information, coordinating the ULOs with Progress and approving and publishing the information about the ULOs and the programme guide.
The process: updating of curricula and programme guides
Retracting from the final publication date of the programme guide, the process has been established as set out in Table 1.
Table 1
Planning overview of actions and authorised persons per semester week for updating Fontys ICT's curricula and semester guides in the Curriculum Database.
| Week | Date | Who | Action |
|---|---|---|---|
| Week 17 NJ/ Week 19 VJ | Monday | TO & Programme manager (CE) | Deadline CDB in place for all and CE's. Each ULO's should be on 'final' or 'approved'. In the Master course on Canvas, the link to the CDB should be updated to the correct version. |
| KZ | Quality assurance (KZ) sends mail to CE's (copy Cluster Managers (CM)'s) | ||
| CE | Each CE approves the ULO for which he or she is responsible in the CDB before the monday of week 19, 9:00 a.m. Each ULO should then be on “approved”. | ||
| Week 18 NJ / Week 20 VJ | Monday | Man. Dev. | Reminder to CE's (copy CM's) |
| CM | Check whether the points for improvement from the semester evaluations are included in Canvas as well as the correct link to the CDB. | ||
| Week 19 NJ / Week 21 VJ | Monday | Man. Dev. | Check that all the ULO's in the CDB are approved by the CE's |
| Week 19 NJ / Week 21 VJ | Wednesday | KZ | The complete programme guide will be presented to Legal Affairs (JZ) of the Education and Research Service (Fontys O&O), so that it can be published on the Fontys website. |
| Man. Dev | Publish the most recent, approved information of the ULO's. This makes the programme guide and the information via Canvas accessible. | ||
| KZ | Places the complete programme guide also on the student square of the Fontys ICT portal, with the TER's. |
Authority to modify data
Because the CE 's are the only ones who may formally modify the ULO's, we ensure that TO's and lecturers cannot change codes and performance indicators without approval of the CE. A new topic will then be assigned a new code later, so we can be sure that this code has not been used before. ULO coding guidelines are managed by the Information Manager. Once a ULO is published, the underlying information can be changed in a new version. That new version replaces the previous version only upon publication and only if that new version had been approved by the CE.
When is a new unit of learning outcomes created?
In terms of assurance, a ULO counts as a new ULO as soon as the linked learning outcomes have changed significantly, the name changes or the subject is revised as far as it's content can no longer be equated with its predecessor.
