Personal data in StudyCoach
Summary
Within LMS Canvas, StudyCoach is used, an application in which - by taking notes - personal data of students can be included. Within the framework of the privacy legislation (GDPR), the guidelines for the use of StudyCoach are described.
1. Introduction
Within Fontys ICT, use is made of StudyCoach. StudyCoach provides an overview of relevant learning analytics that can provide lecturers with insight into a student's learning process. The tool visually displays information from Canvas - about subjects back. This makes it easier for coaches and students to identify 'At Risk' students and make early adjustments. In StudyCoach, lecturers, students and semester coaches can take notes. Study Coach in the blue Canvas menu can be used to exchange notes within a Canvas Course and is not course overarching.
2 Notes in StudyCoach
Adding notes is an important element of StudyCoach. By means of these notes, a lecturer can inform the semester coach of the student how the learning process of the student is progressing and what study behaviour the student shows. Semester coaches can also easily store relevant notes about the student in StudyCoach because of the simple transfer from one semester coach to the other semester coach. During the entire study programme, the notes about the student can be consulted by the coach in question and by the student himself. Under the privacy|legislation (GDPR), not everything should be noted in the notes. Guidelines have been drawn up for this purpose.
3 Guidelines for the use of notes in StudyCoach
- A student always has the right to inspect the notes. Since 1819VJ a student has had access to StudyCoach.
- A student always has the right to have personal information removed.
- The advice is to always let a student read when a note is saved.
- Notes may only relate to the student's study behaviour or things that may influence the student's learning process, such as personal circumstances (medical, relational problems, home situation, addictions, domestic violence, etc.). This must be relevant for the guidance in the study.
- Some examples could be:
A student is game addicted. The student is undergoing treatment for this. Because of this he is not at Fontys ICT one day a week. You can write this down with the approval of the student.
A student indicates that for medical reasons he needs his own special chair, otherwise he will get a lot of pain in his back. With the approval of the student this can be written down in StudyCoach.
A student indicates that he has problems with programming. Every week he goes to the Peer to Peer project of Student+. With the approval of the student this can be written down in StudyCoach.
A student says that his parents are in divorce. This is handled in a good way. It has no influence on the student's study behaviour. This is NOT included in StudyCoach.
One student indicates that he has autism. He has control over this, which means that it has no influence on his learning process at the moment. This is NOT included in StudyCoach.
- When asking for permission, inform the student that the notes will be passed on to the next semester coach;
- A note may NOT be recorded if the student does NOT explicitly give permission to do so.
