Event policy

Summary
The page describes the strategic frameworks, goals and target groups in the event policy. It also defines how responsibilities are invested and what type of events are part of the Fontys ICT policy.

1. Reason

Many events are organised within Fontys ICT. Due to the number of events and the pressure this puts on Fontys ICT's own employees and partners, among others, a need has arisen to bring more structure, clarity and logic to the events. The aim is to draw up an event policy that applies to the entire organisation. This will serve as a guideline for the current events and those yet to be developed.

We assume the following target groups:

  • Partners (PIE and PII);
  • Research partners of the research groups;
  • Other external stakeholders from the work field;
  • Students (both bachelor, AD, Education for Professionals (OvP), LLO);
  • Future students ;
  • Alumni;
  • Employees of Fontys ICT;
  • Future employees of Fontys ICT.

2. Strategic frameworks

Fontys ICT is shaping the future of the ICT work field. In doing so, we create an ecosystem in which talent, knowledge and innovation come together for a digital future that is better for people, animals and the planet. Our aim is to lead the way, to be sustainably the best in everything we do and to always work together with a view to the future.

Growth
From the demand from society and professional practice, the student volume is growing by 50% and the research portfolio by 200%.
People
Together, we form a learning ecosystem and work towards our mission from shared values and organisational goals. We strive for connection, well-being, job happiness and positive societal impact.
Education
Talent-based student learning drives our education. We do this at levels 5-8, full-time and part-time, connecting even more strongly with professional practice by contributing to professionalisation of working people.
Excellent support
Our support processes and systems are student-, education- and research-oriented, continuously improving and linked to Fontys-wide developments.
Research
We are building a growing research portfolio from which we enterprisingly, together with the regional work field, conduct multi-year research programmes, guiding content and intertwined in implementation with our education.
Implementation
The implementation of our education focuses on student success and prepares in form and working environment for future professional practice. Through clear and simple frameworks, we provide space for ownership.

3. Event goals

Fontys ICT's strategic course gives direction to the events we organise for the various target groups. What we want to achieve and whom we want to connect with by organising the various events:

  • We want to show that we are an internationally innovative institute with both education and research;
  • We want to show that we make an impact on our environment;
  • We want to show that we allow students to develop themselves, challenge them and follow their own development path.
  • We want to connect with the different target groups and let the target groups connect with each other: (potential) students, (potential) employees, partners and alumni;
  • We want to be a good employer, where employees can be themselves and have the opportunity to develop.

Using the above points, we can translate Fontys ICT's course into the event goals below.

3.1 Open up: Fontys ICT as an innovation institute

We show that we have excellent education and research. Internationally recognised and operating regionally. We show the impact we make on our environment. We are an open institute where you can get and bring knowledge.

3.2 Community Building

We create a connection between our partners, (former) students and employees and propagate this connection. And in this way make potential students both nationally and internationally interested in our institute. Alumni are actively involved in our institute and stay in touch with employees, students and partners. We also allocate our community to improve our education. By engaging with them and asking for feedback, we can use experiences from the work field to further improve education.

3.3 Motivation, activation and participation of Partners

Our (future) partners are motivated to commit to our institution. We collaborate on long-term research projects and motivate our partners to connect with our students. The partner network is also used to meet and encourage each other to enter into cooperation with other partners and Fontys ICT. Connecting, sharing knowledge and research is a crucial starting point here.

3.4 Student recruitment

Students' career path starts with their first introduction to our study programme. Through good recruitment activities and information, we interest and enthuse future students and invite them to enrol at Fontys ICT. We advise them on making use of their talents, guide them in their choice process, inform them about the possibilities at Fontys ICT, let them experience/feel what studying at Fontys ICT is like and show them what they can ultimately achieve within society.

3.5 Career path students

Our students are proud of the study programme and strive for the highest quality. They are enterprising, internationally oriented, inquisitive and innovative. They develop their talents. During their studies, they seek connections with the work field and/or with research (research groups). This ensures a better image of what they can achieve with their studies and what opportunities are available within Fontys ICT. By working together with companies and research groups, they can gain experience with issues from the work field and research issues and build up their own network.

3.6 Connecting and developing (future) employees

Employees are proud of our institute. They are at the basis of the further development of the institute and themselves. They seek connections with colleagues, students and partners. They stimulate and activate students and involve partners in their programme. In addition, they continue to challenge and develop themselves and can further develop their ambitions.

4. Consideration framework

To decide whether to organise a particular event or not, we draw up a consideration framework. Besides the initiator and the person responsible for the target group, the Fontys ICT event manager of the M&C team is always involved in this.

When making a decision, the following questions are run through:

a. For which target group is the event being organised? And does the event meet the needs of the target group? (Investigate by means of survey and through evaluation).
b. Does the event contribute to achieving our strategic goals and event objectives?
c. From which expertise is this event organised? Who owns the event?
d. Is it complementary to already existing events; with a different objective and possibly a different target group?
e. What is the time schedule and is it achievable?
f. Is there budget and manpower? Which people will be involved in the project team?

If the conclusion is that an event will be organised, then it is determined who is in the lead (accountable/responsable) and what support is expected from M&C.

The principles for ownership of the event are:

  • Current students education-related: UM (accountable), lecturers/PLOUs (responsible) + (event manager) M&C (supporting);
  • Current employees: UMs (accountable), PMs (responsible) + (event manager) M&C (supporting);
  • Combination of target groups: UM from the relevant location (accountable) + event manager M&C (responsible).

4.1 Final decision

If, for new initiatives, no consensus is reached between the initiator and the event manager on whether or not to organise an event, the responsible member of the Leadership team (Manager Operations) will make the final decision.

If, for new initiatives, the advice is that the event will be organised, the responsible member of the LT (Manager Operations) will take the final decision to implement.

5. Language policy

Meetings with international employees or students are in English or bilingual. If there are only Dutch-speaking stakeholders, it goes without saying that Dutch can be used as the working language (orally and in writing).

6. Sustainability

We take sustainability into account when organising events. Sustainable events focus on minimising negative environmental impact and maximising positive effects on both the environment and society. This includes reducing energy consumption, digitising more, minimising waste, encouraging the use of public transport to events and reusing materials.

7. Evaluation

Every year, we will evaluate the events that have been organised and assess whether they still meet the objectives and whether the above questions can be answered properly. This way, we prevent that once existing events continue while there is no room for new events that add more value for the target groups.
