Assessor meeting

Summary
A description of the assessor meeting at which it is determined per semester, based on the portfolio of a student, whether the student has obtained the unit of study.

1. Assessor meeting

At the end of each semester, an assessor meeting is held for the Dutch-language full-time programme for the units of study, in which the portfolios of all students are assessed. Participants in this meeting are all involved examiners who were involved with the students during that semester. 1.1. Reporting of the assessor meeting

An important part of this process is the provision of information that is necessary to be able to give the assessments. In addition, at the end of the process of each assessment, a good substantiation must be noted and the Advancement Full-time as a result of the assessment must be incorporated into all systems.

The following guidelines apply to the substantiation of the assessment:

Summary of portfolios
Before the meeting, the Student Desk will make a summary list of the portfolios of all students. This list is provided to the responsible Project Leaders Programme Implementation (PLOU)'s of the unit of study in question. The latter can prepare the meeting with a proposal for an assessment. For example, the proposal for a student with only positive feedback will have been 'achieved' and the assessor meeting will be able to focus its attention on cases of discussion.

Advancement
If the student has obtained the unit of study, the advancement is determined in accordance with the TER. If the unit of study has not been obtained, a restart follows. The semester coach then goes on to develop a plan of action with the student to promote that the semester, through the Onderwijs op Maat programme (Customised Education), is indeed successfully completed in the second instance.

1.2. Role of the Examination Chamber

The summary of the portfolios with assessment, customised advice and the accompanying substantiation will be provided to the person responsible Examination Chamber. The foundations are used to ensure testing quality. The custom-made recommendations are submitted for approval.

1.3. Code of conduct around assessor meetings

  1. All examiners involved in the student are present.
  2. An employee of the Student Desk takes minutes at the request of the PLOU.
  3. The portfolios of all students are available. All formative indications were added in Canvas 2 days prior to the meeting;
  4. Any suspicion of fraud is reported in advance to the Examination Chamber in accordance with the procedure.
  5. The feedback is valid, reflects the student's performance and is not called into question.
  6. Decisions are accepted by everyone. It is a decision of the whole meeting and no one will distance themselves from it later on. All interested parties should make their arguments known. Decisions may be taken by voting, in which case counter-arguments are also recorded (anonymously). The chairman decides.
  7. The chairman summarises the grounds for an assessment, gives the note-taker time to take notes and checks afterwards what has been recorded.
  8. At assessor meetings of the first semester applies: the chosen profile direction of the student may not influence the assessment of the first semester.
  9. Preferably, a member of the Examination Board is present to oversee the proper conduct of the assessor meeting. This is not compulsory, but desirable.

1.4. Procedure Assessor meeting

The assessor meeting is conducted as follows:

  1. The PLOU organises the assessor meeting and ensures that for each class or group the assessors concerned are present with preferably a member of the examination chamber in charge.
  2. The PLOU chairs the assessor meeting. The PLOU may appoint another lecturer/assessor as moderator of the meeting.
  3. During the assessor meeting, a note-taker is present to record the results and motivation for these and/or to include them in the results matrix.
  4. During the assessor meeting, the integral summative assessment takes place for each student in the class or group with the possible outcomes being: achieved or not achieved. If the semester is achieved, the assessors determine the grade being S (Satisfactory), G (Good) or O (Outstanding). If the semester is not achieved, the grade is U (Unsatisfactory).
  5. Any assessment, which deviates from the decision guideline, is accompanied by a thorough motivation.
  6. The semester coach fills in any comments to be given to the student in the Canvas section StudyCoach, also for transfer to the succeeding semester coach.
  7. For students whose discussion in the assessor meeting reveals that they need special attention and extra support for successful progress in their studies and therefore require more customised education during the following semester (both when transferring to higher education and when restarting in the current semester), the following procedure applies:
    • a. The assessor meeting advises on which aspects require customised education for the student.
    • b. The semester coach of the student concerned fills in these advices in the Canvas component Studycoach. The following semester coach will discuss these advices with the student at the beginning of the following semester, leading to a plan of action prepared by the student and approved by the semester coach.
    • c. Students may subsequently request the examination chamber for an individual programme. In such cases, based on the student's motivation and the advice of a dean, the examination chamber may assess the request. In that case, if the examination chamber approves the request, the student draws up a study contract that must be explicitly approved by the examination chamber before the student may start.
  8. For each student, the member of the examination chamber present assesses whether the assessment has been carried out correctly.
  9. The results from the assessor meeting are delivered to the Student Desk for further processing.
  10. The Student Desk delivers the lists of grades to the examination chamber.

1.5. Inform students

Immediately after the assessor meeting, the semester coaches inform their own students informally about the assessment. The assessment of USGO is registered by the Student Desk in Progress.
